VapeVault Vending Shipping and Installation Policy

This Shipping and Installation Policy outlines the terms and conditions regarding the delivery and installation of VapeVault Vending machines. By entering into an agreement with VapeVault Vending, you accept the terms detailed below.
1. Shipping Policy
1.1 Stock Availability

Machine Allocation: Shipping and installation are subject to the availability of vending machines at the time of order. Machines are allocated on a first-come, first-served basis.

Notification of Availability: If machines are temporarily out of stock, clients will be notified immediately and placed on a priority waitlist for the next available machine.
1.2 Shipping Timeline

Standard Shipping: Machines will be shipped within 10-15 business days following confirmation of stock availability and site approval.

Delays: While we strive to meet shipping timelines, delays may occur due to unforeseen circumstances such as supply chain disruptions or high demand. Clients will be promptly informed of any changes to the estimated delivery date.
1.3 Shipping Costs

Shipping fees are included in the refundable deposit or the agreed-upon rental/profit-share terms unless otherwise specified in the client agreement.
2. Installation Policy
2.1 Site Assessment

Pre-Installation Assessment: A site assessment will be conducted to ensure the venue meets the necessary requirements for machine installation, including:

Availability of a secure and level placement area.

Access to a standard power outlet.
-
Adequate space for customer interaction and accessibility.
-

Approval Process: Installation will proceed only after the site has been assessed and approved by VapeVault Vending.
2.2 Installation Timeline

Installation Date: Once the site is approved and the machine is available, installation will be scheduled within 5-7 business days.

Client Coordination: Clients will be contacted to arrange a convenient installation date and time.
2.3 Installation Requirements

The client must ensure:

Access to the site during the scheduled installation time.
-
The site is clear of obstructions to facilitate a smooth installation process.

3. Responsibilities
3.1 VapeVault Vending
-
Delivery and Setup: VapeVault Vending will deliver and install the vending machine at the approved site, ensuring it is operational upon completion.

Training: A brief training session will be provided to the client or venue staff on using and troubleshooting the machine.

Support: Post-installation support is available for any questions or issues related to the machine.
3.2 Client

Site Preparation: The client is responsible for preparing the site to meet the requirements outlined during the assessment.

Accessibility: The client must ensure the site is accessible on the scheduled delivery and installation date.
4. Limitations

Service Area: Shipping and installation services are available only within the regions covered by VapeVault Vending.

Rescheduling: Rescheduling of installation must be requested at least 48 hours in advance. Late rescheduling requests may result in additional fees.

Cancellation: If the client cancels the installation after confirmation, cancellation fees may apply.

RETURN & EXCHANGE POLICY
VapeVault Vending Returns Policy
Effective Date: January 2025
This Returns Policy outlines the terms and conditions for returning a VapeVault vending machine. By entering into an agreement with VapeVault Vending, you acknowledge and accept the terms specified below.
1. Eligibility for Returns

Returns are permitted under the following circumstances:

The end of the agreed minimum contract term (12 months).
-
Early termination with adherence to the cancellation and penalty terms outlined below.

Machine malfunction that cannot be resolved through repairs or replacement (as determined by VapeVault Vending).

2. Refund Policy
-
Refunds for the refundable deposit (if applicable) will be processed within 90 days after the machine is returned and inspected.

Refund eligibility is contingent on:

The machine being returned in its original condition with no significant damage.
-
Full compliance with the terms of the agreement and this policy.

3. Early Termination and Penalty

For early termination of the contract (before the minimum 12-month term is completed):

A penalty of R5,000 per remaining month of the contract will be charged.

This penalty will be deducted from the refundable deposit or billed directly to the client if the deposit does not cover the full amount.

Written notice of termination must be provided at least 90 days prior to the return date.
4. Condition of Returned Machines

Returned machines will be inspected for damages.

Damage Charges:

If the machine is found to be damaged beyond normal wear and tear, the cost of repairs or replacements will be deducted from the refundable deposit.

In cases of extreme damage, the full deposit may be forfeited.

5. Return Process

Requesting a Return:

Clients must contact VapeVault Vending to initiate the return process. Requests can be sent via email to info@vapevaultvending.com or by phone.

Return Coordination:

VapeVault will coordinate the pickup or delivery of the machine.

Clients are responsible for ensuring the machine is securely packed and accessible for retrieval on the agreed date.

Inspection and Refund Timeline:

Machines will be inspected within 7 business days of return.
-
Refunds will be processed within 90 days of the inspection, subject to penalty deductions and damage assessments.

6. Non-Refundable Scenarios

Refunds are not applicable if:

The machine is returned without fulfilling the contract terms or the notice period.

Significant damage is found that exceeds the deposit amount.
-
The client has violated any terms of the agreement.
